Event Planning Resources

 

Reserving Spaces

All organizations are required to register their events in CollegeNet/25Live. This link will take you to the CollegeNet website in order to submit Event and Meeting Reservation requests.

Event Planning Forms

Event Information Form

Use the Event Information Form to share information regarding upcoming organizational events. Events must be submitted via this form to be considered for promotion via SmealEngage listserv, Business Career Center, and other promotional channels.

Event Promotion Request

Use the Event Promotion Request form if you would like assistance in promoting your Smeal RSO event.

Note that most promotional requests should be submitted at least 14 days in advance of your event.

Speaker Request – Corporate Representative

Fill out the Speaker Request - Corporate Representative form if you need assistance in finding a speaker for an event sponsored by a Smeal Registered Student Organization that does not currently work for The Pennsylvania University.

Speaker Request – Penn State

Utilize the Speaker Request – Penn State form if you need assistance in finding a speaker for an event sponsored by a Smeal Registered Student Organization that currently works for The Pennsylvania University.

Speaker Request – Penn State Alumni

Utilize the Speaker Request – Alumni form if you need assistance in finding a speaker for an event sponsored by a Smeal Registered Student Organization that is an alumni of The Pennsylvania University.

Food Waiver Form

Use the Online Food Waiver Form if your organization will be hosting an event and/or meeting at which food will be served. Be as specific as possible when filling out the Food Waiver Form.

The Online Food Waiver Form must be completed no later than 2 weeks prior to your event date. Email smealorgs@psu.edu with any questions.

Financial Resources

University Park Allocation Committee (UPAC)

Organizations, organizations operating under a University Affiliate or department, and independent requestors are all eligible to receive funding from UPAC.

Visit UPAC’s website for more information on how and when your organization can apply for funding.

Smeal Allocation Board (SAB)

The Smeal Allocation Board receives proposals from requesting Smeal Organizations with regards to the funding of a range of events. The committee analyzes and discusses the requests and then proceeds to allocate funds to assist the Smeal organizations in whatever events they are holding.

It is strongly encouraged that UPAC funding is pursued before requesting funds from SAB.

Associated Student Activities

Associated Student Activities (ASA) is the financial office for the more than 1000 recognized student organizations at University Park. ASA offers many services; however, its primary functions are that of a banker, accountant, paymaster, and advisor on fiscal matters.

All treasurers and other officers should bring their questions to the staff of ASA. They will be glad to offer any assistance, referrals, or advice that will help you better manage your student organization's affairs.

Miscellaneous Resources

Organizational Accomplishment Form

Use this form to update the Undergraduate Education office on accomplishments and accolades your club has received.

There are no restrictions of requirements attached to this form, but will help us to publicly share the great work your organization is doing for Smeal and Penn State.

Excuse Letter Request Form

Use this form to request an excuse letter for an event at which you will be representing a Smeal Recognized Student Organization.

Smeal Ethical Leadership Challenge (SELC) Inclusion Request

Utilize this form if you would like an event sponsored by your Smeal Recognized Student Organization considered for inclusion and promoted in the Smeal Ethical Leadership Challenge (SELC).

Note that only organizations who are verified Honor & Integrity Advocates are permitted to submit events for inclusion in the Smeal Ethical Leadership Challenge (SELC).

Smeal Student Council

The Smeal Student Council (SSC) is the undergraduate student government of Penn State's Smeal College of Business.
